1. Who is responsible

The data controller for this website is Soyuz Tobacco Processing Limited, part of Soyuz Tobacco Group, plant at the Lilayi City Light Industrial Zone (LSMFEZ), Lusaka, Zambia. Privacy contact: alexander.p@soyuztobacco.com.

2. Scope

This notice covers personal data processed through this website and the enquiry channels it lists. It is written to meet international good practice, including the EU/UK General Data Protection Regulation (GDPR) for visitors from those jurisdictions and the Zambian Data Protection Act, 2021.

3. What we collect

The enquiry form collects the details you type: what you need (enquiry type, leaf style, volume, destination market), your name, company, business email and, if you choose, phone number and a message. If you email or call the desk directly, we process the correspondence you send. Our hosting provider records standard technical logs (IP address, browser type, pages requested) to operate and secure the service.

4. What stays on your device

Your entry-gate confirmation (30 days), an unsent enquiry draft from the homepage, and your choice to dismiss the Trading Desk bar are stored in your browser only. They never leave your device and we cannot read them. One exception: if JavaScript is off, the homepage form passes your details to the contact page in the page address instead, where standard hosting logs may record them.

5. Why we process your data, and on what basis

We process enquiry data to answer your enquiry and, where it leads to business, to take steps towards a contract (GDPR Art. 6(1)(b)); to run and secure the website (legitimate interests, Art. 6(1)(f)); and to meet legal obligations that apply to us (Art. 6(1)(c)). We do not use your data for marketing, and we do not sell it.

6. Who we share it with

Enquiry submissions are delivered to the Trading Desk inbox via Formspree, a form-handling provider acting as our processor; our email and hosting providers process data incidentally to providing those services. We may share data with professional advisers under confidentiality, and with authorities where the law requires it. We do not share personal data with any other third party.

7. International transfers

The Group operates from Zambia and our service providers may process data in other jurisdictions. Where data of EEA/UK visitors is transferred outside those areas, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses or an adequacy decision.

8. How long we keep it

We keep enquiry data for as long as needed to answer your enquiry and conduct any resulting negotiation. Where no business relationship follows, enquiry records are deleted or anonymised within 24 months of last contact. Data connected to a contract is kept for the retention periods commercial and tax law require.

9. Your rights

Subject to the law that applies to you, you may request access to your personal data, its correction or deletion, restriction of or objection to its processing, and a portable copy of data you provided. Write to alexander.p@soyuztobacco.com; we respond within one month. You may also complain to your supervisory authority — in the EEA/UK, your national data protection authority; in Zambia, the Office of the Data Protection Commissioner.

10. Cookies and analytics

This site sets no cookies and runs no analytics or third-party trackers. If that changes, this notice will be updated first and any tool used will be privacy-respecting.

11. Security

The site is served over HTTPS. Access to enquiry data is limited to the people who need it to respond, and nothing you submit is stored on this website itself.

12. Minors

This site is intended for adults of legal age working in the tobacco trade. We do not knowingly collect data from minors; if you believe a minor has submitted data, contact us and we will delete it.

13. Changes to this notice

We may update this notice as the site or the law changes. The date at the top shows the current version.
